Privacy Policy
This policy explains what the PhoneApp collects, why, and how it is used — for staff and contractors of S & T Properties using the app as an internal work tool.
PhoneApp ("the App") is a business communications tool built and operated by S & T Properties ("we", "us", "the Company"). It is issued to employees and contractors for work-related calling, messaging, and voicemail — it is not distributed to, or intended for use by, the general public.
This policy describes what the App collects and how that information is handled. It does not replace or override the Company's general website privacy policy; it applies specifically to your use of the App.
The App accesses and stores the following categories of information in the course of normal operation:
| Category | What it includes | Why it's collected |
|---|---|---|
| Contacts | Names and phone numbers you save or sync in the App's address book | To let you place calls and send messages to the right person without re‑typing numbers |
| Call & SMS metadata | Numbers dialed/received, timestamps, duration, extension/line used, call disposition | Business call logging, coverage/callback tracking, and service troubleshooting |
| Call recordings & transcripts | Audio recordings of calls placed or received through the App, and text transcripts generated from them | Quality assurance, dispute resolution, and business record‑keeping |
| Voicemail | Voicemail audio left for your extension | So you can retrieve messages left while unavailable |
| Microphone audio (live) | Your microphone is accessed in real time only while you are actively on a call | Required to transmit your voice to the other party during a call |
| Push notification tokens | A device identifier issued by Apple (APNs) or Google (FCM) | To deliver "incoming call" alerts to your device even when the App is closed |
| Account & extension data | Your name, assigned extension, duty status, and device sign‑in sessions | To route calls to you correctly and manage access to Company lines |
Information collected through the App is used only for the following purposes:
- Connecting, routing, and displaying calls, messages, and voicemail between staff and external callers;
- Maintaining call recordings and logs as business records;
- Delivering push notifications for incoming calls and messages;
- Troubleshooting technical issues with calling, messaging, or the App itself;
- Internal administration — for example, an administrator reviewing which lines are assigned to which staff member.
We do not use this information for advertising, and we do not sell or rent any information collected through the App to third parties.
Certain information necessarily passes through service providers that make the App's calling and messaging functions work:
| Provider | Role | What they process |
|---|---|---|
| Twilio Inc. | SIP trunk (carrier) and SMS delivery | Call signaling/audio in transit, and SMS message content/numbers, to complete calls and texts to/from outside numbers |
| Apple Inc. / Google LLC | Push notification delivery (APNs / FCM) | Device push token, used only to wake the App for an incoming call or message alert |
These providers process data strictly as required to deliver the call, message, or notification — they are not authorized to use it for their own purposes. We do not share App data with any advertising, analytics, or data broker service.
We may disclose information if required to do so by a valid legal request (for example, a court order), or to protect the rights, property, or safety of the Company, its staff, or others.
Call recordings, transcripts, voicemail, SMS content, and call/message logs are retained indefinitely as part of the Company's ongoing business records. There is currently no fixed automatic deletion schedule for this data.
If you would like a specific record reviewed or removed, contact the administrator listed in Section 8 — requests are handled at the Company's discretion, consistent with any legal or business record‑keeping obligations that may apply.
As this App is operated from Alberta, Canada, handling of personal information is guided by the Personal Information Protection and Electronic Documents Act (PIPEDA). Consistent with PIPEDA, you may:
- Request access to the personal information the Company holds about you in connection with the App;
- Request correction of inaccurate information;
- Withdraw consent for non‑essential uses of your information, subject to legal or contractual limits (for example, call recording tied to your employment duties may not be optional — see the Terms & Conditions);
- Ask questions about how your information is handled.
To exercise any of these rights, contact the administrator listed in Section 8.
We take reasonable technical and organizational measures to protect information handled by the App, including access controls on Company servers and encrypted transport for calls and messages in transit. No system is completely secure, and we cannot guarantee absolute security of information transmitted through the App.
We may update this policy from time to time as the App's features change. The "Effective" date at the top of this page reflects the most recent revision. Material changes will be communicated to staff through normal internal channels.
